Job Description:

Raise Purchase Requisition and PO for all orders and supplies for all departments.
Ensure appropriate approvals from Director for Procurement and Order Processes.
Coordinate and arrange Business cards, corporate letterheads and envelopes printing requests, gifts / vouchers, other items as required by different departments from time to time.
Supplies Management ensuring ordering of all supplies and consumables for Vending machines, HK supplies, Consumables, Stationary and other office related material.
Coordinate and execute issuance of Access cards, ID cards for new joiners on Day 1 of joining.
Processing of invoices, defining cost center and payment settlement.
Project co-ordination of minor site upgrades, refurbishments, and internal relocation.
To take ownership of the business and suggest improvements which will result in increased productivity/ efficiency and/or reduced costs.
Continuous efforts to improve operations, decrease turnaround times, streamline work processes, and work co-operatively and jointly to provide quality and seamless customer service.
Prepare and ensure timely delivery of MIS reports of all spends and supervise the maintenance of filing system for all documents and activities, ensuring their security.
Attend to employee Grievances and help resolve issues quickly and effectively in a smooth and amicable manner.
Daily walk arounds of the facility to be done with the HK Executive to check for high level of hygiene and cleanliness; repairs and maintenance activities to be done; schedule for weekend repair and other activities; Asset identification and storage for all spare assets.


Handle Front office in absence of the front of executive.
Answer the switchboard quickly.
Greet customers and announce their arrival to the hosts as quickly as possible.
Perform a general services/customer service role by managing enquiries, and/or pointing customers to the right direction.
Contribute to achieving strong customer relationships by focusing on responsiveness and communications as well as on meeting and/or exceeding customers expectations.
Ensuring and taking responsibility for the tidiness, cleanliness and general amenity of the reception area.
Maintain a robust filing system, in compliance with internal standards.
Manage courier service and delivery tracking requests.
Perform any other tasks or projects that may be assigned by the Supervisor.

Candidate Profile:

Excellent communication skills (verbal and written).
Ability to interact and understand employee issues and help resolve in a simple and effective manner.
Proven ability to identify, understand and resolve the issue at hand.
Comfortable working in the All shifts.
Very proficient with software packages of Microsoft Office.
Well experienced at Facility Management and Admin related matters and front office management.
